Promotional and Name-and-Likeness Consent
Version: promotional-v2 · Jurisdiction: South Africa · Locale: en-ZA · Last updated: 22 August 2026 · Effective: 22 August 2026
This consent is optional. You may decline it without affecting your application, selection, participation, ticket, or access to unrelated WhatAnEvent services.
By selecting the promotional consent option, you give the permissions described below to WhatAnEvent and the organiser of the event connected to your application.
1. Material covered
The permission covers promotional material that identifies or depicts you in connection with your participation, including:
- Your name, display name, social-media handle, photograph, image, likeness, voice, and event biography.
- Publicly presented division, affiliation, team or gym, record, result, award, matchup, lineup, bracket, or programme information.
- Photographs, audio, and video captured at the event, weigh-in, media activity, or related public event session where the organiser has lawful authority to record.
- Quotes or comments you knowingly provide for publication.
It does not permit publication of your private contact details, identity documents, payment information, private review notes, medical information, or other information that was not presented for public promotion.
2. Permitted uses
WhatAnEvent and the organiser may use the covered material to:
- Advertise, announce, document, recap, and report on this event.
- Promote later events, the organiser's event business, or WhatAnEvent by referring to past events and participants.
- Publish event pages, profiles, cards, posters, programmes, result graphics, highlight reels, social-media posts, press materials, presentations, and portfolio material.
- Resize, crop, caption, subtitle, format, combine, or make other reasonable editorial changes that do not materially misrepresent you.
Material may appear in digital, social, print, broadcast, presentation, and press channels. Online publication is accessible internationally even though this consent is governed by South African law.
3. Licence and compensation
You grant WhatAnEvent and the organiser a non-exclusive, royalty-free permission to reproduce, display, publish, communicate, adapt for formatting, and distribute the covered material for the permitted uses.
This consent does not transfer ownership of material you already own. No fee or royalty is payable solely because material is used under this consent, unless a separate written agreement says otherwise.
Neither WhatAnEvent nor the organiser may sell your likeness as a standalone endorsement of an unrelated third-party product without additional permission. Ordinary event sponsorship placement around event promotional material is permitted where it does not falsely state that you personally endorse the sponsor.
4. Accuracy and dignity
Material must not knowingly be used in a false, defamatory, degrading, discriminatory, or materially misleading way. Reasonable edits, excerpts, layout changes, and event-context captions are allowed.
If you believe material has been used outside this consent, contact us with enough information to identify it.
5. Duration and withdrawal
This consent continues until you withdraw it for future use. To withdraw, use the unsubscribe link in a marketing message or on your order/application confirmation, reply STOP on WhatsApp, or contact privacy@whatanevent.app and identify the event, profile, and material where possible.
After a verified withdrawal, WhatAnEvent and the organiser must stop new uses that rely only on this consent and take reasonable steps regarding promotional material under their control. Withdrawal does not:
- Make use before withdrawal unlawful.
- Require recall of printed material already distributed.
- Require deletion from independent news, social-media reposts, archives, search caches, or third parties outside their control.
- Prevent retention of limited evidence needed to record the consent, withdrawal, prior publication, a dispute, or a legal obligation.
Where practical, scheduled material not yet published should be removed after withdrawal.
6. Event records that are not promotional
Withdrawal does not necessarily require deletion of factual event records, results, safety records, audit logs, or material retained under another lawful justification. Public discoverability and future promotional use must still respect the Privacy Policy and the permissions that apply at the time.
7. Children
If the person depicted is under 18, consent must be provided or confirmed by a parent, guardian, or other competent person where required by law. A minor must not select this consent without the necessary authority.
8. Separate permissions
This consent is separate from the required Participation Waiver, event rules, and Event Communications Consent. Refusing or withdrawing promotional consent does not withdraw those separate agreements or consents.
